Sweepstakes Reports

When you run a sweepstakes fundraiser, you will have access to several specific reports. These reports, located under the Sweepstakes Management tab, include:

  • Enter Main-In Entries
  • Manage Sweepstakes Winners
  • View Promoters
  • View Earned Entry
  • View Sweepstakes Entries

You can access these reports by clicking the options shown below.

In addition to the reports shown above, organizations can view and export a list of donations and donor information under the View Donations tab.

Enter Mail-In Entries

RallyUp typically enters the mail-in entries for all sweepstakes though your organization can choose to do this if you wish. You can read more about alternate methods of entry required for sweepstakes and why you cannot sell paper entries to your sweepstakes here. The report generated when you click “Enter Mail-In Entries” allows you to access information about entries that have been mailed in. The information contained in this report includes:

  • Entrant name
  • Entrant contact information

Many organizations use this report to determine what percentage of total sweepstakes entries from the alternate method of entry or add these individuals to a mailing list.

Manage Sweepstakes Winners

The report generated when you click “Manage Sweepstakes Winners” allows you to access information about who won the sweepstakes prizes. The information contained in this report includes:

  • Winner name
  • Winner entry number
  • Winner contact information
  • Prize won

Many organizations use the information contained in this report to develop a mailing list of raffle winners for prize fulfillment.

View Sweepstakes Entries

Several export options exist depending on how the sweepstakes is set up. These options are shown in the image below:

Export

The report generated when you click “Export” under the “View Sweepstakes Entries” tab allows you to access information about sweepstakes entries purchased per person per transaction. The information contained in this report includes:

  • Donor name
  • Donor contact information
  • Date of purchase
  • Amount of purchase
  • Entry numbers assigned
  • Quantity of entries
  • Payment status
  • Prize Description

Many organizations use this report while running a mix-and-match experience to answer the question, “How much money did my sweepstakes raise?” Because it provides a component-specific breakdown of amounts raised, it is easy to see how much money the sweepstakes itself raised.

Export Entries

The report generated when you click “Export Entries” under the “View Sweepstakes Entries” tab allows you to access information about each individual entry purchased. The information contained in this report includes:

  • Donor name
  • Donor contact information
  • Donor email
  • Entry number

Sharing Rewards

If Sharing Rewards is enabled on a sweepstakes, several additional reports are available.

View Promoters

The report generated when you click “View Promotors” allows you to access information about individuals who have signed up as promotors on your experience. The information contained in this report includes:

  • Promoter name
  • Date signed up
  • Entries earned
  • Number of purchases from promotor link
  • Amount raised from sharing

Many organizations use the information in this report to add the promotors to a mailing list to share updates or marketing emails.

View Earned Entry

The report generated when you click “View Earned Entry” allows you to access information about the entries people have earned by donors purchasing from their link. Organizations can choose to export promotor entries or donor entries.

The information contained in this report includes:

Promoter Entries Tab Export

  • Date entries were earned
  • Promoter name
  • Promoter email
  • Number of entries earned
  • Entry numbers assigned
  • How entries were earned

Donors Entries Tab Export

  • Date entries earned
  • Donor name
  • Donor email
  • Quantity of entries purchased
  • Entry numbers assigned

Many organizations use the information contained in this report to determine the reach and success of their sharing rewards program.
